Managing stock and inventory in the RoyalPOS admin dashboard: current stock, adding stock, raw materials, recipes and consumption, suppliers, purchase orders, stock requests, transfers, and reconciliation.

Where do I see current stock?

Open Current Stock to see the on-hand quantity of items and raw materials for the selected outlet. Use it to monitor levels and decide what to reorder.

  1. Open Current Stock in the dashboard.
  2. Review on-hand quantities.
  3. Reorder/add stock as needed.

How do I add stock?

Open Add Stock, choose the item/raw material, enter the received quantity (and cost if tracked), and save. The current stock increases by that amount.

  1. Open Add Stock.
  2. Select the item/raw material.
  3. Enter the received quantity.
  4. Save.

How do I manage raw materials?

Raw materials are the ingredients consumed by recipes. Add raw materials (and their categories), and maintain their stock; recipes then deduct them as linked items sell.

  1. Open Raw Materials.
  2. Add raw materials and categories.
  3. Maintain their stock levels.

How do I create a recipe and set consumption?

A recipe links a sold item to the raw materials it uses. Create the recipe and set consumption per item; when the item sells, RoyalPOS deducts the raw materials so inventory stays accurate. Manual consumption lets you record usage not tied to a sale.

  1. Open Create Recipe / Set Consumption.
  2. Define the raw materials and quantities per item.
  3. Save — sales deduct raw materials automatically.
  4. Use Manual Consumption for non-sale usage.

How do I manage suppliers?

Open Suppliers to add and manage the vendors you buy stock from. Suppliers are used when raising purchase orders and stock requests.

  1. Open Suppliers.
  2. Add a supplier with contact details.
  3. Use them in purchase orders/stock requests.

How do I create a purchase order?

Open Purchase Orders to raise a PO to a supplier for the items/raw materials you need. Receiving against the PO adds the stock.

  1. Open Purchase Orders.
  2. Create a PO, select the supplier and items/quantities.
  3. Save/submit the PO.
  4. Receive against it to add stock.

What is a stock request and the stock request report?

A stock request is a request raised (often from an outlet to a central store) for items/raw materials. The Stock Request Report shows the requests and their status so you can fulfil them.

  1. Open Stock Request / its report.
  2. Review requested items and quantities.
  3. Fulfil or transfer the requested stock.

How do I transfer stock between outlets?

Use the stock transfer / transfer purchase order options to move stock from one outlet/store to another, keeping both outlets' inventory accurate.

  1. Open the stock transfer option.
  2. Choose source and destination and the items/quantities.
  3. Confirm the transfer.

How do I reconcile stock / record damaged goods?

Use the reconcile/stock-audit option to match system stock to a physical count and correct differences, and the damaged-goods option to record wastage so stock and reports stay accurate.

  1. Open Reconcile Stock / Report Damaged Goods.
  2. Enter counted quantities or damaged amounts.
  3. Save to adjust stock.
